Sustainability Policy

Purpose

At Experia Events, we are committed to reduce our environmental footprint and foster sustainability in all facets of our event planning and execution. We recognise our responsibility to protect the environment and are dedicated to incorporate eco-friendly practices in our operations.



Responsibility

Experia’s Sustainability Committee oversees the implementation and management of this policy. All Experia staff are responsible for understanding the policy and engaging with relevant stakeholders.



Applications

The principles of this policy should be applied whenever possible and appropriate, in line with our sustainability commitments.



1. Energy Efficiency

Renewable Energy: Experia is committed to progressively increase the use of renewable energy in its total energy consumption. Our preference would be to use venues that are powered by renewable energy sources.


Efficient Lighting: Our preference would be to use venues equipped with LED or energy-efficient lighting.



2. Waste Management

Zero-Waste Objective: Experia is committed to a zero-waste objective by striving to minimise landfill waste through reduction, reuse and recycling practices. Waste is segregated at source, and usable event materials are repurposed where possible, ensuring resources are recycled or re-used whenever possible.


Digital-First Approach: By adopting a digital-first mindset, Experia reduces its reliance on printed materials. Event programmes, registration, tickets and promotional content are delivered electronically, minimising paper use hence lowering the environmental impact.


Sustainable Materials: Experia actively encourages the use of sustainable materials for events, including biodegradable, recyclable, and reusable options. Materials used for items such as signages, carpets, badges and lanyards are selected with sustainability in mind, with collection points provided to facilitate reuse or recycling after events.


3. Sustainable Food & Beverage

Sourcing: Prioritise local food options, to reduce the environmental impact of food transportation while supporting local producers and communities.


Minimise Single-Use Plastics: Provide reusable or biodegradable food packaging, cutlery and cups. Install water refill stations and encourage attendees to use refillable bottles, minimising single-use bottle.


Meal Options: Offer plant-based meals, which have a lower environmental footprint compared to meat-based alternatives.



4. Water Conservation

Water Refill Stations: Install water refill stations to encourage mindful consumption, urging users to refill only as needed to reduce water wastage.


Sustainable Facilities: Our preference would be to use venues with low flow taps and toilets to minimise water usage.



5. Eco-Friendly Materials

Our preference would be to use eco-certified or recycled materials for all promotional items, giveaways and other event materials to minimise environmental impact.


Our preference would be to use vendors who source their raw materials ethically and sustainably and certified by recognised standards (e.g. Singapore Green Labelling Scheme, FSC certified wood, Fairtrade certified goods)



6. Transport and Travel

Public Transport and Carpooling: Employees are encouraged to utilise public transportation or carpooling options to reduce carbon emissions and support sustainable commuting practices.


Venue Accessibility: Our preference would be to use venues that are easily accessible by public transportation, ensuring convenience while minimising the environmental impact of travel.


Chartered Buses: All chartered buses must comply with Euro 5/6 emissions standards, supporting our commitment to reduce air pollution and enhancing sustainability.


Encourage vendors supplying goods and services to Experia to upgrade their logistics or delivery fleet to low-emission or eco-friendly vehicles to support a reduction in carbon emissions throughout the supply chain.



7. Green Event Partnerships

Sustainable Vendors: Collaborate with vendors and sponsors that prioritise sustainability by offering eco-friendly products, services or practices.


Environmental Certifications: Select venues with recognised environmental certifications (e.g. BCA Green Mark, LEED, MSC) to ensure adherence to sustainability best practices throughout the event.



8. Carbon Offset

Offsetting Travel Emissions: Attendees and exhibitors of our events will be offered the option to offset their travel-related carbon emissions during ticket purchase or registration.



9. Education and Awareness

Sustainability Messaging: Promote the event’s sustainability initiatives to attendees, encouraging their active participation in eco-conscious practices.


Internal Communication: Foster a culture of sustainability within the Company by regularly communicating the importance of environmental responsibility and encouraging employee participation in sustainable initiatives.



10. Post-Event Evaluation

Track and Report Impact: Implement systems to measure the event’s environmental footprint, such as energy usage, waste production and carbon emissions, and to submit those reports to the relevant stakeholders.


Continuous Improvement: Use data and attendee feedback to assess the effectiveness of sustainability initiatives. Apply insights to refine and enhance future event practices, fostering continuous progress towards greener events.



11. Social Responsibility

Community Engagement: Foster strong connections with local communities, prioritise local suppliers over overseas vendor.


Diversity and Inclusion: Ensure the event and office environment is accessible and inclusive, fostering diversity among participants, staff, and vendors. Commit to equitable hiring practices that promote equal opportunities for individuals from diverse backgrounds.
